Video 13: How to Set-up Time Conditions and Time Groups

This video instructs you on setting up Time Groups and Time Conditions in your phone system. These modules allow you to set your inbound calling preferences which are typically based around your business hours and schedule.

1. Browse to FreePBX admin > Select “Applications” drop down menu > Select “Time Group” module

  • Under the “Time Group” section enter a “Description” in the text field
  • Under the “New Time” section enter the values that match your work schedule “Time to start”, “Time to finish”, “Week Day start”, “Week Day finish”, “Month Day start”, “Month Day finish”, “Month start”, “Month finish”.
  • Click “Submit”
  • Click “Apply Config”

2. Select “Applications” drop down menu > Select “Time Conditions” module

  • Under the “Add Time Condition” section enter a “Time Condition name” and select a “Time Group” to apply your condition preferences
  • Select a destination phone number or extension to send calls during this time condition under the “Destination if time matches” section (i.e. select the IVR that you’ve created)
  • Select a destination phone number or extension to send calls outside this time condition under the “Destination if time does not match” section (i.e. select the voicemail you’ve created)
  • Click “Submit”
  • Click “Apply Config”

3. Select “Connectivity” drop down menu > Select “Inbound Routes” module > Select the inbound route you created (right side of screen)

  • Select your preference based on the Time Condition you created by selecting it from the “Set Destination” section
  • Click “Submit”
  • Click “Apply Config”

You should now be able to configure time groups and time conditions on your PBX. Time Groups and Time Conditions can conflict, so be mindful of your selections and literal with your definitions. Here you need to “think like a programmer” each time and preference is a unique and independent event. Therefore you need to define each day of the week as a separate condition for your time group (i.e. even though Monday and Tuesday’s schedule and call preferences are the same, they each need to be added as a separate condition).

What are Time Groups?

Rules that allow users and administrators of your phone system to accept calls (i.e. not after 5pm, not on holidays, not during lunch, etc).

What are Time Conditions?

Based on your the rules for your time groups, users and administrators of your phone system can sequences for the calls to obey. (i.e. send calls after 5pm to an alternate phone number, send calls that happen on holidays to a special voicemail, calls that come in during lunch directly to a voicemail, etc).
